ALTA is a private, non-profit international organization composed of Latin American and Caribbean commercial airlines, whose objective is to combine and coordinate the efforts of its members in order to facilitate the development, safety and security of air transport in the Latin America and the Caribbean region and to ensure better communication and collaboration for the mutual benefit of its members, their customer and the industry.
Job Title : Administrative Assistant
Report to : Industry Affairs Managers
Carries out administrative duties by assisting the industry Affairs (IA) Department to achieve its goals by collaborating with its ongoing activities and projects.
Assist IA staff with administrative duties as requested, such as:
• Elaborate letters and communications to Governments and high level executives
• Coordinate travel arrangement for staff
• Assist in coordinating IA committee meetings and other related tasks
• Develop and distribute meeting minutes
• Translation of letters (English and Spanish)
• Maintain continuous communication with Airline representatives of each committee
• Coordinate conference calls
• Continuous update of contacts database of each Committee.
• Perform assistant duties, receive calls, filter and route them, and take messages.
• Perform general clerical duties such as:
• Sorting and routing mail;
• Ordering office supplies, taking inventory and other clerical tasks.
• Other tasks assigned by the Executive Director as well.
Requirements:
• Good interpersonal skills
• A letter briefly describing the candidate’s goals, experience and the reason for his/her interest in working for ALTA.
• Permanent Residency or Citizenship in the US.
• Great grammar and communication skills
• Knowledge of Outlook, Word, Excel, Power Point, and QuickBooks.
• Availability to travel 3-4 times a year.
• Fluent in English and Spanish; Portuguese is a plus.
• Ability to work calmly under pressure and meet deadlines.
• Organized and able to manage various projects simultaneously.
• Ability to work independently but also as part of a small team.
• Detail oriented.

Administrative Assistant:
Carriers out administrative duties by helping the Administration and Finance Manager to implement administrative systems, procedures, and policies, and monitoring various office projects.
• Perform receptionist duties, greet visitors and refer them to appropriate staff members, answer
phone, filter and route calls, and take messages.
• Perform general clerical duties such as:
• Sorting and routing mail;
• Operating basic office equipment (phone, photocopiers and fax machines);
• Filing documents and records;
• Typing letters and memos;
• Updating and Maintaining data ;
• Produce mailing labels and reports as requested;
• Ordering office supplies, taking inventory and other clerical tasks.
• Assist staff with administrative duties as requested.
• Assist with other duties related to the office, HR or any other area as assigned.
• And others tasks assigned by the Executive Director as well.
